Welcome to CoachConnect. Your privacy is important to us. This Privacy Policy explains how we collect, use, and protect your personal data in compliance with the General Data Protection Regulation (GDPR) and other applicable laws.
1. Who We Are
CoachConnect is a personal fitness coaching application. We operate from Ireland and may be contacted at: jrojas@coachconnect.fit. We operate as CoachConnect Technologies Limited, registered in Ireland.
2. What Data We Collect
Personal Information: Name, email address, gender, weight, height.
Fitness Information: Training goals, past injuries, workouts completed, calories burned.
Nutrition Information: If you use CoachConnect Nutrition, we may collect information needed to create, review and personalise your nutrition plan, including:
- Country
- Age
- Sex, where required for nutritional estimates
- Height and weight
- Nutrition or body-composition goal
- Training frequency and activity level
- Dietary preferences or dietary pattern
- Allergies and intolerances
- Foods you dislike or wish to avoid
- Meal preferences and number of meals
- Cooking time and kitchen access
- General budget preference
- Language preference
- Answers to Nutrition eligibility and safety questions
- Optional information you choose to provide about your food preferences or circumstances
Some of this information may constitute health-related or special-category personal data under data protection law. We only collect information that is necessary to determine whether CoachConnect Nutrition is suitable for you and to create and professionally review your nutrition plan.
3. How We Collect Your Data
We collect data when you register or log in (via Google, Apple, or email), enter your fitness profile or training preferences, use features within the app (e.g., routine generation, progress tracking), or interact with cookies or usage logs.
4. How We Use Your Data
We use your data to:
- Create personalized fitness plans tailored to your profile
- Track workout completion and progress
- Improve app functionality and performance
- Respond to user support requests
- Send product-related emails, including updates, new features, and service announcements relevant to your use of CoachConnect. You may opt out of these communications at any time by contacting us or using the unsubscribe link in any email
- Comply with legal and regulatory obligations
If you use CoachConnect Nutrition, we also use your information to:
- Determine whether the Nutrition service is suitable for you
- Create a personalised draft nutrition plan
- Perform automated safety checks
- Allow a qualified nutrition professional to review, edit, approve or reject the draft
- Deliver an approved nutrition plan to you
- Process requests for changes or updates to your plan
- Support ongoing Nutrition reviews or check-ins included in your service
- Investigate safety concerns or issues reported by you
- Maintain appropriate records of plan review and approval
We do not sell your data to third parties. CoachConnect does not use raw Nutrition answers, allergies, health-related responses, weight, free-text Nutrition information or the content of your nutrition plan for advertising purposes.
5. Legal Basis for Processing
We process personal data where:
- Contractual necessity: Processing is necessary to provide CoachConnect features or services that you request.
- Consent: You have consented to particular processing activities.
- Explicit consent for health-related data: Where information collected through CoachConnect Nutrition constitutes health data or other special-category personal data, we rely on your explicit consent to process that information for the Nutrition service.
- Legitimate interests: Where appropriate, for operating, securing and improving CoachConnect, provided those interests do not override your rights.
- Legal obligation: Where processing is necessary to comply with applicable law.
Before submitting health-related Nutrition information, you will be asked to actively provide your consent. You may withdraw your Nutrition consent at any time. If you withdraw consent, CoachConnect may no longer be able to provide personalised Nutrition services to you. Withdrawal does not affect processing that occurred lawfully before consent was withdrawn.
6. Third-Party Services
We use trusted third-party providers to operate our services:
- Firebase / Google Cloud – Authentication, backend infrastructure, data storage and related services
- Google Gemini – Artificial intelligence used to create draft fitness and Nutrition content
- Google / Apple – Sign-in, account management and platform services
- YouTube API – Retrieval of workout video content
- GitHub – Software development and version control; user Nutrition data is not intentionally stored in GitHub
These providers process information only as required to provide the relevant CoachConnect service, and are required to provide data protection standards consistent with GDPR or equivalent protections.
7. AI Coaching and Personalisation
CoachConnect uses artificial intelligence to generate personalised coaching conversations. To personalise these responses, CoachConnect may use information such as:
- Workout history
- Completion rate
- Previous check-ins
- Selected barriers
- Training preferences
- Previous coaching interactions
We only send the specific information relevant to your coaching request — never your complete account or unrelated personal data.
8. CoachConnect Nutrition and Human Review
CoachConnect Nutrition uses a combination of artificial intelligence, automated safety controls and professional human review.
When you request a personalised nutrition plan:
- CoachConnect uses the Nutrition information you provide to prepare a draft plan using an AI provider.
- Automated safety checks are applied to the draft.
- A qualified nutrition professional reviews the relevant information and draft plan.
- The professional may approve, edit, reject or request changes to the draft.
- You only receive the nutrition plan after it has been approved by the professional.
AI-generated Nutrition drafts are not shown directly to users without human review. The nutrition professional only receives access to the information reasonably necessary to review and provide the Nutrition service. The professional providing this review may access the required information from Argentina while working on behalf of CoachConnect Technologies Limited.
9. Data Storage & Security
We take appropriate technical and organizational measures to protect your data, including encryption in transit, secure authentication (e.g., Firebase), and regular monitoring of third-party services.
10. Data Retention
We retain your personal data only as long as necessary to provide services you use, comply with legal requirements, or respond to support or account requests. You may request deletion at any time.
Nutrition information is associated with your CoachConnect account and is retained as necessary to provide the Nutrition service. If your CoachConnect account is deleted, the Nutrition information associated with that account is also included in the account-deletion process, subject to any limited information that CoachConnect is legally required to retain.
11. Your Rights Under GDPR
As an EU resident, you have the right to access, correct, or delete your personal data, object to data processing or restrict use, and withdraw consent at any time. To exercise these rights, email us at: jrojas@coachconnect.fit.
In addition to your existing GDPR rights, where CoachConnect relies on your explicit consent to process health-related Nutrition information, you may withdraw that consent at any time. You may also request access to, correction of or deletion of your Nutrition information by contacting: jrojas@coachconnect.fit.
12. Account Deletion
If you wish to delete your account and associated data, contact us directly. We will process the request within 30 days.
Deleting your CoachConnect account also removes Nutrition profile information, nutrition plans and associated Nutrition information held as part of your CoachConnect account, subject to any information that must be retained to comply with applicable law.
13. Cookies and Tracking
Our app uses cookies or similar technologies to remember preferences and track usage analytics. You may control cookie settings through your device or browser.
14. Third-Party AI Providers
CoachConnect uses Google Gemini as an AI provider for certain fitness coaching and Nutrition functions. Only information relevant to the particular AI request is sent to the provider. CoachConnect seeks to avoid sending unnecessary identifying information.
For CoachConnect Nutrition, relevant information may include your goal, age, height, weight, activity level, dietary preferences, allergies, intolerances, food preferences and other Nutrition information required to prepare the draft plan.
Payment information is not sent to the AI provider. Google states that data submitted through paid Gemini API services is not used to improve its products. Google may retain prompts, contextual information and generated responses for a limited period for abuse monitoring, security and legal or regulatory purposes.
CoachConnect applies additional safeguards to Nutrition content, including automated safety checks and mandatory professional review before a personalised plan is provided to you.
15. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated within the app or by email.
